Managing Customers Overview

BookingCentral provides a centralized way to manage, track, and interact with your customers—helping you streamline operations, improve communication, and maintain better control over your bookings.

Every time a booking is created—whether through your online booking widget or directly in the dashboard—a customer record is automatically created and stored in your system. Over time, this allows you to build a complete customer database without any additional manual entry.

Managing your customers is just as important as managing your bookings—especially when your goal is to create repeat customers year after year. BookingCentral offers multiple ways to manage and interact with customers across the platform.

Managing Customers Through the Customers Tab

The Customers tab provides a dedicated place to view and manage your full customer list.

Enable the Customers Tab

To enable this feature:

  1. Navigate to Settings → Orders → Customers
  2. Enable the Customers option

Once enabled, a Customers tab will appear in your main menu.

Create New Orders for a Customer

  • Select New Order from within a customer record
  • Customer details (name, phone, email, address) will be automatically pre-populated
  • Any saved payment information will also be available

Add Notes to Customers

  • Store internal notes such as preferences, history, or special requests
  • Keep your team informed for future interactions

Report Customer-Related Issues

  • Document issues such as:
    • Damage to rentals
    • Missing items
    • Other concerns related to the booking or the customer

This helps maintain accountability and provides useful history for future bookings.

Block Customers

  • Prevent a customer from making future bookings
  • Add notes to document the reason for the block

Note: Future updates may automatically block bookings based on the customer’s email address.

View Order History

  • See a complete list of all bookings for the customer
  • Select any order to view full details

Create and Use Customer Tags

  • Assign custom tags (e.g., VIP, Repeat Customer)
  • Use predefined tags available in the system
  • Helps organize and segment customers for reporting and marketing

Track Customers Through Reports

Run a Customer Report

  • Generate and download a Customers Report from the Reports tab.
  • Use this report to upload customer data into your preferred email marketing platform
  • Identify customers who opted in to receive promotions or future communications

View Customer Details in Orders & Manifest Reports

  • The Orders & Manifest Reports displays all bookings within a selected date range
  • Includes key customer details such as:
    • Name
    • Email
    • Phone number
  • You can also include custom fields, such as:
    • Delivery address
    • Number of participants
    • Add-ons or special selections

This is especially useful for daily preparation and operational planning.

Interact with Customers Through Messaging

BookingCentral allows you to communicate with customers directly through both email and text messaging.

Message Customers from an Order

  • Open the customer’s order
  • Navigate to the Messages section
  • Select Send Email or Send Text Message

Use this for:

  • Sharing important updates (traffic delays, weather conditions)
  • Sending reminders (waivers, arrival instructions, etc.)

Send Messages from the Message Center

  • Select the message icon in the upper-right corner to open the Message Center
  • Go to the Broadcast Message tab

This allows you to:

  • Send messages to multiple customers at once
  • Contact customers with upcoming bookings (up to 2 weeks out)
