How do I record damages of my rentals?

BookingCentral offers a robust Fleet Management feature that, in part, allows you to track and report damages/issues of your rental fleet. To be able to report on damages of your fleet, you must first enable the Fleet Manager for your Resource(s).

To do this:

  • Go to Settings - Resources
  • select a Resource to edit
  • Select Show in Fleet Manager / Issue/Damage Reports

The system offers three ways to report for damages of a resource.

Report Damages On the Order

You can report damages or issues of the rental on the order that used the resource. 

  • Open the Order
  • From the Functions section, select Report Issue/Damage

  • In the Report Issue window, fill in the details about the issue
    • Issue Type: Damage, Missing Item, Other
    • Severity of the issue: None, Low, Moderate, High
    • Short Description of the issue or damage
    • Record the resources mileage or hours (optional)
  • Select OK when complete

The issue will automatically be tied to the customer and order as well as show who reported the issue (user logged in) and time the issue was reported. These details will show in the Damages Report.

Report Damages During Check In / Check Out

Using Check In / Check Out feature will allow you to report issues/damages of your rental resources. This is a great time to report issues as the user will be with the resource at the time of Check In and Check Out, so they can see first hand the damage that occurred. 

To utilize damage reporting during Check in/Check Out, you must first enable the Fleet Tracking section on the Check In or Check Out Form.

To do this:

  • Go to Settings - Check In/Out
  • Select the appropriate Check In or Check Out form to edit
  • Select Edit Form Sections button
  • Select the Add Section button
  • Choose the Fleet Tracking option from the Add Section window, then OK
  • Save the form

When you are checking in or out a customer, you'll be able to report an issue during the process from the Fleet Tracking section.

  • Enter the Hours of the boat at the time of Check In / Out (optional)
  • Select the Report Issue button to input the issue/damage
  • Continue to Check In/Out to complete the process

Report Damages From the Fleet Dashboard

The Fleet Dashboard allows you to easily report issues and damages. The main difference between reporting issues from this location is that it is not directly linked to an order as it is when reported on the order or during Check In / Check Out. This is a good option as issues may occur that are not related to an order, but still need to be recorded in fleet management and in the damages report.

To report an issue/damage from the Fleet Dashboard:

  • Select the Fleet tab from the top menu

There are 2 ways from the Fleet Dashboard to report issues:

  1. Select the Issue icon from the Actions section
  2. Select Report Issue button by the Resource from the Fleet Status section

Report Issues from the Fleet Issues page

The Fleet Issue screen will show you a list by date of all issues reported. On this screen you can:

  • Edit an existing Open issue
  • Close an issue (from the edit screen)
  • Delete an issue - this will remove all record of the reported issue including reports
  • Report an Issue - use the + Report Issue button from the top right

Report Issue from the Fleet Status section

All resources included in the fleet management will show their status in this section. This includes service status and existing issues. In this section you can:

  • Select the Details button by the resource to see specific service updates and damage/issues 
  • Select the Report Issue button to add new issues/damage details.

Reported issues will always include the User of who reported and the date reported.
